Planning Before Purchasing

IT infrastructure planning should start with understanding current and future needs, not a hardware shopping list. This checklist covers the questions worth answering before any purchase decision.

Assess Current State

• What workloads are you running today? File sharing, ERP, email, line-of-business applications — list them all, including where they currently run.
• What is your current server and storage capacity? Understand utilisation, not just raw specifications, to know whether you are actually near capacity or have headroom.
• How is data currently backed up, and has it been tested? A backup that has never been restored successfully is a significant, often-undiscovered risk.

Plan for Growth

• What is your expected growth over the next 2-3 years? Staff count, data volume, and new applications all affect infrastructure sizing.
• Are there planned new systems or applications? A new ERP rollout or additional line-of-business software should be factored into current infrastructure planning, not treated as a separate future project.

Virtualization Strategy

• Should workloads be consolidated via virtualization? If you are running three or more separate server workloads, virtualization (VMware, Hyper-V, or Proxmox) typically improves both cost efficiency and reliability through live migration and failover capability.

Storage and Backup Design

• What is your required backup retention period? Compliance or operational needs may dictate how long backups must be retained, directly affecting storage sizing.
• Do you need a disaster recovery site or cloud backup? For businesses where downtime is particularly costly, an off-site or cloud backup strategy adds resilience beyond local backups alone.

Power and Environmental Protection

• Is your server room properly cooled and powered? Even a small server room benefits from basic environmental monitoring — temperature, humidity, and water leak detection.
• What UPS runtime do you need? Enough for graceful shutdown at minimum; longer runtime if you have generator backup or need continuous operation during outages.

Security Considerations

• Is your infrastructure properly segmented and firewalled? Server and storage systems should sit behind appropriate network segmentation, not openly accessible from the general office network.
• What is your patching and update process? Servers and virtualization platforms need a defined process for applying security updates, not an ad-hoc "whenever someone remembers" approach.

Support and Management

• Who manages this infrastructure day-to-day? In-house IT, an external managed service provider, or a combination — this should be decided as part of the plan, not left unresolved.
• What is your response time expectation for a critical failure? This shapes whether you need a support contract with guaranteed response times or can rely on ad-hoc support.
