Plan the Network Before You Plan the Furniture
Network infrastructure needs to be one of the earliest decisions in a new office fit-out, not an afterthought once desks are already arranged — cabling and network rooms are far cheaper to plan before walls and ceilings are finished.
Pre-Move-In Checklist
1. Confirm internet connectivity availability and lead time. Business-grade internet connections can take weeks to provision depending on the building and provider — start this process as early as possible.
2. Plan your network room location. Choose a central, secure location with adequate ventilation and power for your core switches, router, and firewall — ideally not an afterthought corner with no cooling.
3. Map device locations across the floor plan. Desks, meeting rooms, printers, access points, and any cameras or access control readers — this drives your structured cabling design.
4. Design and install structured cabling. Cat6A cabling from every outlet location back to the network room, following proper standards and labelling, completed before furniture and partitions make access difficult.
5. Size switching and PoE capacity. Based on your device count and growth plans, including power budget for IP phones, access points, and any cameras.
6. Plan VLAN segmentation. Decide how you will separate voice, data, guest Wi-Fi, and any CCTV or access control traffic before configuring switches.
7. Design Wi-Fi coverage. Based on the actual floor plan and expected device density per area, not a generic access point count.
8. Confirm firewall and security setup. A business-grade firewall configured for your specific security policy, not a default configuration left unchanged.
9. Plan for phone system connectivity. If deploying IP PBX, confirm PoE capacity for phones and adequate bandwidth for expected call volume.
10. Document everything as it is built. Port labelling, IP address ranges, and an as-built record — this single habit saves enormous time for every future troubleshooting session or office change.
Testing Before Staff Arrive
Once infrastructure is installed, test actual throughput at multiple points, confirm Wi-Fi coverage across the full floor plan, and verify phone and any CCTV/access control systems are functioning correctly — ideally with time to fix any issues before the move-in date, not on day one with staff already at their desks.
Avoiding the Most Common New-Office Mistake
The most frequent mistake is treating network infrastructure as a last-minute item once the office layout and furniture are finalised, leading to rushed cabling work, under-planned capacity, and compromises that are expensive to fix later.
Planning Your New Office Network
For businesses opening a new location across Ahmedabad and Gujarat, we recommend starting network planning as early as lease signing — well before fit-out begins — so infrastructure is ready and tested before your team's first day in the new space.
